Migrating from Xero

Moving from Xero? Marbles can help you bring your existing accounting records across, so that you can pick up where you left off. This guide explains what to prepare, what comes across, and what to check once the migration is complete.

How the migration works

Marbles connects to your Xero organisation with read-only access and brings your accounting records across. Your Xero file is not changed. Your Marbles ledger starts where Xero finished, from a conversion date that you choose. Migration is free on every plan.

  1. Prepare your Xero file. Reconcile your bank accounts and tidy your records up to the conversion date.
  2. Create your Marbles organisation. See Getting started.
  3. Connect Xero. Sign in to Xero from Marbles, then choose the organisation to migrate and the conversion date.
  4. Review the migrated records. Compare the key balances with Xero before you go live.
  5. Connect your bank accounts and continue in Marbles.

Before you begin

A migration is easier to check when your Xero file is in good order at the conversion date.

  • Reconcile every bank account in Xero up to the conversion date.
  • Approve or delete draft invoices and bills, so that the amounts outstanding are complete.
  • Finalise the activity statements for periods ending before the conversion date.
  • Archive the contacts and accounts you no longer use, so that only the records you need come across.
  • Run Xero's Trial Balance, Aged Receivables and Aged Payables as at the conversion date, and keep copies for comparison.
  • Have your Xero sign-in details ready. You need access to the Xero organisation you are migrating, and the Administrator role in Marbles.

Choosing a conversion date

The conversion date is the date from which your books are kept in Marbles. Account balances at that date become your opening balances, and transactions from that date onwards are recorded in Marbles. Where you can, choose the first day of a GST period or of your financial year, so that each activity statement and financial report is prepared from one system.

What comes across

Marbles brings the following across from your Xero organisation.

Records What is migrated
Chart of accounts Your accounts, with their codes, names, types and default tax rates.
Contacts Customers and suppliers, with their contact details, addresses and ABNs.
Invoices and bills Your invoices and bills, including those still outstanding at the conversion date, so that receivables and payables in Marbles agree with Xero.
Opening balances The balance of every account at the conversion date, recorded as conversion balances. See Accounting.
GST information Your GST registration details and the tax rates used on your transactions.
Historical transactions Transactions before the conversion date, so that earlier periods can be reported from Marbles.
Bank account information Your bank accounts, ready to be linked to a bank feed in Marbles.

Bank feeds are not transferred, because each feed is authorised separately under the Consumer Data Right. Link each account to a feed after the migration. Users are not migrated either. Invite your team and accountant under Settings > Users. Payroll is set up separately in Marbles. See Payroll.

Running the migration

Start the migration from your Marbles organisation. Sign in to Xero when prompted, select the organisation to migrate and confirm the conversion date, then start the import. Marbles reads your Xero records with read-only access, so nothing in Xero is changed, and you can continue to use Xero while the migration runs. A typical migration completes in about 15 minutes, depending on the size of your file.

After the migration

Check the migrated records against Xero before you rely on Marbles.

  • Compare the Trial Balance as at the conversion date with the copy from Xero. See Reporting.
  • Compare Aged Receivables and Aged Payables with Xero, and confirm that each outstanding invoice and bill is present.
  • Confirm the balance of each bank account, then link the account to a bank feed. See Banking.
  • Check your GST settings under Settings > Activity Statement settings. See Tax.
  • Set a lock date on the day before the conversion date, so that the migrated balances cannot be changed by accident. See Accounting.
  • Invite your team and accountant under Settings > Users. See Users and roles.

Keep your Xero subscription until you have checked the figures. Once you are satisfied, cancel Xero so that you are not paying for both.

Moving from another system

If you are moving from MYOB, QuickBooks or another system, enter your opening balances under Settings > Conversion balances, then enter the invoices and bills that were outstanding at the conversion date. See Opening balances on the Accounting page.
